- Children: Full name, date of birth, gender, medical information (allergies, health conditions, medication requirements), dietary requirements, developmental observations and progress records, photographs (where consent is given), Ofsted registration details.

- Enquiries and tour bookings: Name, contact details, and information you provide when submitting an enquiry form.
3. How we use your personal data
We use your personal data for the following purposes:
- To provide childcare services and fulfil our contract with you
- To comply with our legal obligations as an Ofsted-registered childcare provider, including safeguarding duties
- To administer fees, funding claims, and payments

- To share developmental updates and observations via the Famly app (with your consent)
- To respond to enquiries, tour requests, and availability checks

- Legal obligation: Processing required by law (e.g. safeguarding, Ofsted registration, EYFS statutory framework)

5. Who we share your data with
We do not sell your personal data. We may share it with:
- Famly (our parent communication platform) — subject to their own privacy policy
- Formspree (our enquiry form processor) — for processing website contact forms
- Government bodies — including HMRC, the Department for Education, and local authorities, where required for funding claims or regulatory compliance
- Other childcare providers or schools — with your consent, when your child transitions
- Emergency services — where necessary to protect the health or safety of your child
- Our staff — only those who need access to provide care
6. How long we keep your data
We retain personal data only for as long as necessary:
- Children's records: Retained for a minimum of 3 years after the child leaves our setting (or until the child's 21st birthday, whichever is later) in line with Ofsted guidance
- Financial records: Retained for 6 years in line with HMRC requirements
- Enquiry data: Deleted within 12 months if no contract is entered into
- Safeguarding records: May be retained for longer periods in line with statutory guidance
7. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate or incomplete data
- Erase your data (in certain circumstances)
- Restrict how we process your data
- Data portability — receive your data in a structured format
